Here are a few things that will be useful to you in relation to working together.

Terms and Conditions of Working Together:

By booking a consultation with Stephanie Joachim you agree to the terms listed below.

Booking:

When booking your consultation please check you have chosen the right time zone. I am in the UK so I may be working at different times than you expect.

Cancellations:

Please give 24 hours notice of cancellation of your consultation. I often have a waiting list for last minute consults so please give me as much notice as possible so I can rebook the slot.

Cancellations with less than 24 hours notice will be charged.

The Consultation:

fFor video consultations I will send you a link to join the video meeting. If for any reason it does not work we will find another way to communicate. Please check your emails before your consultation is about to begin.

I might ask you for more information or photographs, we can discuss this as required during your consultation. This may be required to help determine the right remedy.

Contact Between Consultations:

This will be discussed at your consultation. I might ask for email updates in-between consultations if needed.

Pharmacy:

I will send you a prescription for your remedies after our consultation. I will also send you a contact of where to purchase them. You can purchase the remedies from other sources if you have them.

First Aid Prescribing:

We will discuss taking other remedies during your treatment. First aid consultations can also be booked in between consultations if you have an acute symptom you need help with.

Homeopathy alongside mainstream Healthcare:

Homeopathy works well alongside mainstream healthcare programs and medications. You will not be asked to come off medications during your treatment. You may be asked to go for additional health checks to see if your medications are still required.

Homeopathy is not instead of Accident and Emergency Care:

If you need emergency health care please contact your Doctor or Emergency Services.

Emergency Service:

I cannot provide an emergency service. If you need emergency care please contact the emergency services.

Confidentiality:

I will not share your details with anyone. I am registered and abide by data protection laws in Ireland. Please click through to my Terms of Trading for further information

Emails:

When you book a consultation with me, I will add your email address to my own client list so that I can contact you about your consultations, about news and courses, and about learning more about homeopathy. You can unsubscribe from this list at any time.

Health Notes:

I am required by law to keep your consultation notes for 7 years. These will not be shared with anyone unless the law requires me to submit information for the protection of life.

The Consultation:

Everything discussed at each consultation is confidential and will not be discussed with anyone else unless I have your specific instruction to discuss your information with other health professionals.

Code of Conduct:

I abide by the homeopathic Code of Ethics

Technology:

The use of Internet, video calls, messenger, emails or telephone calls: I will take every precaution reasonably possible to ensure the privacy of your information but it cannot be guaranteed across these technologies.

Payment:

I will send an invoice through to you after the consultation. You can choose whether to pay by card or by Bank Transfer. Please settle your invoice within 24 hours of your consultation.

Vouchers:

Vouchers can be used to offset against the full price of a single consultation but cannot be used in conjunction with any other offers.

Consultation Packages:

I offer a series of discounts for prepaid packages. Please contact me for details

Technology:

I use Zoom, WhatsApp, Skype or Messenger for video calls. I use email for contact between consultations.


Privacy Policy for Clients

I take the privacy rights of my clients very seriously. This privacy policy sets out how I deal with your ‘personal information’, that is, information that could identify, or is related to the identity of, an individual.

What personal information do I collect?

In order to treat you, I will ask you to provide certain information. This includes:

  • Name
  • Gender
  • Date of birth
  • Home address
  • Email address
  • Telephone number
  • Medical history

To this, over time, I will add details of the conditions for which you have consulted me and the remedies and other therapies that I have prescribed or recommended.


How do I collect this personal information?

All the information collected is obtained directly from you. This is usually at the point of your initial consultation. The information may be collected via a ‘medical history form’ or during the first consultation. At the point at which you provide your personal information.

Your consent is required in order to ensure my compliance with data protection legislation. By booking a consultation on my online diary, I will ask if you consent to these terms.

During our ongoing consultations, I will add to this initial information the details of the consultations. This information will be stored on my personal computer which is password protected and backed up in case of corruption. Patient folders are password protected.

How long do I keep your personal information?

Your information will be stored for 7 years after your last consultation. For children, I will keep the health records for a period of 7 years after their 18th birthday, as is required by our Licence to practice. At that point, your file will be securely destroyed and any digital information will be erased from my computer systems.

How do I use this personal information?

I use your personal information to analyse the conditions for which you have consulted me and to prescribe remedies and other therapies. I will communicate with you by email, by telephone or video call, or messaging service online and through the internet.

With whom do I share your personal information?

I do not share your personal information

How your information can be updated or corrected

To ensure that I have accurate and up-to-date information, you need to inform me of any changes you believe I should make to the personal information I hold. You can do this by contacting me by any of the methods previously described.

Under data protection legislation, you have the right to inspect the personal information I hold about you. You can make a request to do so by contacting me and I will endeavour to respond within 14 working days.

How do I store your personal information?
Client Notes

Since 2022, client files are  stored on my personal computer, as well as paper-based notes, that are held securely within my consulting room. I take steps to protect your personal information against loss or theft, as well as unauthorised access, disclosure, copying, use, or modification.

Online Diary

I currently use the online booking service acuityscheduling.com. This means your name and contact details are stored on their secure hosting. These details will not be shared with anyone else. Your information on the booking platform ensures we can book consultations in your own time zone and I can send reminders by email, take payments if required and you can easily change your appointments if needed.

Email Support Platform

I currently use mailerlite emailing service to keep my clients informed of news, courses, homeopathic information, special offers and package deals. Your first name and email address will be stored on the programme. If you do not wish to receive these emails you can unsubscribe at any time. Once you unsubscribe your email is kept in a holding list so that it cannot be added again to the list.

Personal Emailing

Your email address is held securely on the servers of my email providers, currently provided by Blacknight hosting.

Homeopathic Courses

I currently use Teachable to host my online homeopathic courses.

This programme stores your email and name so that you can access the course at any time after purchase. Your details are not shared with any other course provider or company.

Changes to this policy

This policy may change from time to time. If I make any material changes, I will make you aware of them.
